Zoho Invoice vs Invoice Ninja for Small Business Invoicing on iPhone
Compare client and invoice allowances separately, then check the paid controls and phone workflow your business actually needs.

For a small business choosing an invoicing app on iPhone, compare the allowance you are likely to reach first. Zoho Invoice’s US pricing page sets an annual invoice ceiling alongside user and project limits. Invoice Ninja’s Free plan sets a client allowance while listing unlimited invoicing. These are different constraints; a free download does not settle whether your working account has the tools you need.
This is a documentation-based software comparison, using official sources reviewed on October 26, 2026. We have not opened billing accounts, created invoices, connected a payment provider or tested the apps. The scope is choosing an invoice workflow, not tax, accounting or legal advice. Check the current offer for your region and account before adopting either service.
Compare the account allowance, rather than the download badge
| Requirement | Zoho Invoice | Invoice Ninja |
|---|---|---|
| Free-service limit | US page: 500 invoices per year, 2 users and 3 projects. | Free plan: up to 5 clients, with unlimited invoicing. |
| Branding | Published free offer includes Powered by Zoho Invoice branding. | Removing Invoice Ninja branding is a Pro feature in the plan table. |
| Reminder requirement | US Invoice page lists automated payment reminders. | Current plan table places automatic reminders in Pro; app marketing alone is not a free-plan promise. |
| Phone workflow | Mobile app supplements a Zoho Invoice account; check the task on the device. | iPhone/iPad app available; check the actual account plan, rather than assuming every mobile feature is free. |
Use the Zoho US offer and Invoice Ninja plan table for the limits above. These limits describe ongoing free offers, rather than unrestricted access to every vendor product. A software allowance also does not establish payment-provider costs; check the provider and regional offer separately if collecting payments is part of your evaluation.
Zoho Invoice: distinguish the free service from Zoho Billing
Zoho’s Invoice-to-Billing comparison describes Billing as a separate expanded product. Do not borrow Billing features to complete an Invoice checklist. If a needed account feature falls outside Invoice, evaluate the actual next product or another app rather than assuming a more capable free edition.
The mobile-app documentation says the app supplements the web-based Invoice account. It also distinguishes choosing a template on mobile from editing that template on the web. Confirm the specific document task on your intended device; the presence of an iPhone app does not establish parity for every editing operation.
The Zoho iOS listing describes email and PDF handoff for invoices. Choose the delivery object you intend the customer to receive, then review that object. Keep the maintained invoice record identifiable when sharing a separate copy.
Invoice Ninja: count clients and check paid controls
Invoice Ninja’s free client allowance is a different decision from annual invoice volume. A plan listing unlimited invoices can still be too small for the client records you need. Its current plan table is also more specific than the general app marketing about branding removal and automatic reminders. Evaluate the required capability against that table.
Invoice Ninja’s apps page describes creating and sending invoices from a phone. The iOS listing identifies an iPhone and iPad app with in-app purchases. Neither a download badge nor a general mobile feature description establishes access to every paid account feature. This comparison does not assess running your own server.
A fictional editor checks two different counters
Imagine an independent audio editor planning to keep eight client records and send 120 invoices over a year. These are fictional requirements for a selection exercise, not a customer case, accounting forecast or result from testing either app.
- Client counter: eight intended records exceed Invoice Ninja Free’s stated five-client allowance.
- Invoice counter: 120 is below Zoho’s stated 500 annual invoice ceiling, but that alone does not prove the whole workflow fits.
- Other requirements: check users, projects, template editing, required reminder behavior and the regional account offer.
- Delivery check: with your own harmless sample, review the intended invoice object and recipient route before using it for real work.
The decision is to qualify every material requirement. Meeting one allowance does not erase another limit. If your existing invoice system already handles the required task, a switch may add no useful capability.
Keep the invoice separate from the covering message
Maintain the actual invoice, status and customer record in the invoicing system. A saved message saying an invoice was sent is not proof of its current status. For the surrounding wording, the freelancer client-message guide and iPhone email template guide cover different reuse needs.
If the introduction repeats, you can evaluate Copied for a manually reviewed text Key in a compatible iPhone or iPad field. A starting note could say, “Here is invoice [number] for [project]. Please review the attached document.” Replace the bracketed details yourself and verify the actual document and recipient. Copied does not create the invoice, collect a payment or synchronize invoice status.
For a one-off invoice, the invoicing app’s own sending tools may be sufficient. Use the small-business app stack guide to decide whether an additional reuse tool serves a recurring job rather than adding it automatically.
