Help Scout vs Freshdesk for Small Business: Contacts, Agents and Free-Offer Limits

Count who needs to reply, which contacts count and when the offer ends. Keep customer conversations and ownership in the inbox.

When choosing Help Scout or Freshdesk for a small business, check three requirements separately: who needs to reply, how the account counts customers, and how long the offer lasts. A continuing free plan and a six-month free program need different operating plans, even when both let you start without paying.

This is a documentation-based comparison of official sources reviewed on October 28, 2026. We have not opened support accounts, connected mailboxes, imported conversations or tested phone apps. Check the intended account and permissions before moving customer messages.

Three independent support-account checks: responder permissions, workload counting and when the offer ends.

Compare the offer with the support job

Help Scout’s offer overview describes an ongoing Free plan for up to five users and 100 contacts per month. Its Free plan documentation lists one shared inbox and up to ten saved replies. Outgoing emails retain the Sent with Help Scout footer. A contact is a person helped, rather than each individual message. The documentation says replies stop at the monthly limit until the next cycle or an upgrade, although incoming emails still arrive.

Freshdesk’s Free Program guide describes up to two agents for six months. It applies to Freshdesk, not Freshdesk Omni. Continuing beyond that period or adding more agents requires a paid plan. Its separate fourteen-day higher-plan trial should not be confused with the program’s duration or included features.

Apply the limits to a fictional team

Imagine a service team with three people who need to answer support email and 80 helped contacts in a month. Those are fictional requirements, not a customer case. Three people fit within Help Scout’s stated five-user allowance, and 80 is below its published contact limit. That does not prove every required feature is included.

The same three responders exceed Freshdesk’s two-agent Free Program allowance. The team would need to check a different offer or paid plan. Even a two-agent team should plan for the six-month endpoint. Do not derive a contact allowance from an agent count or assume that a trial feature will remain available.

If one maintained email account already serves the business reliably, another support system may add work. The business email comparison covers the separate choice of an email client or provider. A shared support inbox is relevant when ownership and conversation handling need more structure.

Keep reply ownership in the support account

Help Scout’s saved-reply guide describes inserting email wording and controlling who can manage it. Freshdesk’s canned-response guide describes reusable ticket responses and visibility for a person, all agents or selected groups. Check the actual permissions and included functionality before adopting either workflow.

Use these native tools when the approved wording belongs to the helpdesk. Review the customer’s conversation and who is responsible before replying. A saved acknowledgement does not establish that anyone has resolved the issue or updated the ticket.

Add a personal text library only for a separate recurring job

If the same generic acknowledgement also repeats in other compatible iPhone or iPad draft fields, Copied can be evaluated for manual text reuse. A possible first Key is “Thanks for the details. I’ll review them and reply with the next step.” Check the customer context and actual next action before sending.

Keep ticket ownership, customer history and reply permissions in the support system. Copied is not a shared inbox and does not assign tickets, synchronize conversation status or send replies automatically. No Help Scout or Freshdesk integration is claimed. The customer-support wording guide helps with that narrower text-library decision.
